Board of Directors Position Descriptions
Chapter President
The Chapter President is a member of the APMP Liberty Chapter Board and serves a two-year term.
The Chapter President serves as a leader, planner, mentor, mediator, and facilitator to stimulate
the Board in developing professional growth tailored to our specific membership, as well as
maintaining the general goals and tone of APMP International (APMP-I). Candidates must be APMP
members in good standing and must be affiliated with the APMP Liberty Chapter and currently serve
on the Board.
Duties of the Chapter President
- Work with chapter members, Board and advisors to develop a mission statement, strategic plan and goals for the Chapter.
- Ensure continuity from year to year, plan an orientation for new officers as soon after the election as possible and invite new officers to the remaining Board meetings for the year.
- Act as a general representative of the chapter, except in cases where authority is given to another officer or member.
- Be familiar with operations of the APMP-I to carry forward their goals and to comply with directives to chapters, and give final approval to required reports.
- Serve as the primary liaison to the APMP-I Board of Directors and participate in national meetings as needed.
- Establish and maintain working relationships and communication with the other Board members of the chapter to develop effective strategies to respond to membership needs.
- Oversee financial accounts and ensure the chapter remains fiscally solvent.
- Sign all contracts with vendors (and secure second signatures as indicated in the bylaws).
- Solicit corporate members for APMP-I and strengthen ties with existing corporate members in chapter territory.
- Chair all meetings of the Board and all meetings of chapter membership.
- Utilize chapter resources for maximum professional development of the membership and the growth of the chapter, while respecting APMP-I’s guidelines for spending chapter money.
- Plan and facilitate meetings for the chapter Board as the Board deems necessary.
- Schedule, preside over and maintain order at all chapter meetings.
- Delegate duties to officers and chapter members.
Chapter Vice President
The Chapter Vice President is a member of the APMP Liberty Chapter Board and serves a two-year term,
staggered with the President's term. The Vice President assists and supports the President in presiding
over the chapter and can assume the responsibilities of the President if needed. Candidates must be APMP
members in good standing and must be affiliated with the APMP Liberty Chapter and currently serve on the Board.
Duties of the Chapter Vice President
- Assume President responsibilities when asked.
- Accept specific delegation of duties from the President.
- Undertake special projects in agreement with the President.
- Prepare to mediate issues among Board members and among Board and chapter members.
Chapter Secretary
The Chapter Secretary is a member of the APMP Liberty Chapter Board and serves a two-year term.
The Secretary keeps accurate records of the acts and proceedings of all meetings of the Board,
which become part of the Chapter’s permanent record. Candidates must be APMP members in good standing
and must be affiliated with the APMP Liberty Chapter.
Duties of the Chapter Secretary
- Transcribe accurate records of the acts and proceedings of all meetings of the Board.
- Distribute minutes to the Board that include the date and place of the meeting, attendance, key discussions, and follow-up actions.
- Post the final version of the minutes where the permanent record of the Chapter is kept.
- Write descriptions of any programs or other meetings for use in publications as directed by the Board.
Chapter Treasurer
The Chapter Treasurer is a member of the APMP Liberty Chapter Board and serves a two-year term.
The Treasurer is responsible for all fiscal activities of the Chapter, including paying invoices,
preparing reports and required forms, depositing money, preparing invoices, verifying transactions,
and maintaining the accounting system. Candidates must be APMP members in good standing and must be
affiliated with the APMP Liberty Chapter.
Duties of the Chapter Treasurer
- Create an annual budget for review and approval by the Board.
- Prepare and distribute monthly financial status reports to the Board and all reports required by APMP International and government agencies.
- Prepare and maintain all required financial reporting where the Chapter’s permanent record resides.
- Maintain checking, savings and credit card accounts at an established and reputable financial institution.
- Pay bills on time to take advantage of discounts and avoid finance charges.
- Process funds received, including member rebates from APMP-I and funds from Chapter events.
- Maintain full and accurate accounts of the finances of the Chapter and file year-end statements as part of the Board minutes.
Chapter Communications Chair
The Chapter Communications Chair is a member of the APMP Liberty Chapter Board and serves a two-year term.
The Communications Chair is responsible for the overall comprehensive communications strategy and for
preparing and distributing all external and internal Chapter communications so that they consistently
articulate the Chapter’s mission and branding. Candidates must be APMP members in good standing and must
be affiliated with the APMP Liberty Chapter.
Duties of the Communications Chair
- Develop, implement and evaluate the annual communications plan and secure Board approval.
- Recruit and lead the Communications Committee and report activities to the Board.
- Coordinate webpage maintenance and ensure timely posting of new, compelling content.
- Identify new ways to communicate with members.
- Manage development, distribution and maintenance of all print and electronic collateral, including brochures, reports, e-newsletters and web content.
- Maintain regular dialogue with other Board members to collect accurate and timely information about programs and Chapter news.
Chapter Membership Chair
The Chapter Membership Chair is a member of the APMP Liberty Chapter Board and serves a two-year term.
The Membership Chair welcomes new members, works with the Communications Chair to keep communications
flowing, prepares monthly reports profiling the Chapter's composition, and coordinates all year-end
reporting required by APMP-I. Candidates must be APMP members in good standing and must be affiliated
with the APMP Liberty Chapter.
Duties of the Membership Chair
- Welcome new members to the Chapter.
- Solicit renewals of membership to the Chapter.
- Coordinate all recruiting efforts of new members to the Chapter.
- Act as a liaison between Chapter membership and the Board.
- Assist the President in responding to member inquiries.
- Maintain the Chapter contact database.
- Provide monthly membership analysis reports to the Board.
- Provide a year-end report summarizing member participation in programs.
- Resolve discrepancies with contact information provided by APMP-I.
Chapter Programs Chair
The Chapter Programs Chair is a member of the APMP Liberty Chapter Board and serves a two-year term.
The Programs Chair is responsible for developing a 12-month program calendar, overseeing on-going
Chapter programs, and assisting the Board in developing new programs. Candidates must be APMP members
in good standing and must be affiliated with the APMP Liberty Chapter.
Duties of the Programs Chair
- Develop a 12-month calendar for membership meetings and programs.
- Work with the Board to identify learning and development opportunities for members.
- Survey members for interests and post-event feedback.
- Manage the speaker pipeline and deliver programs every four to six weeks.
- Work with the Communications Chair to ensure social media and promotions align with Chapter branding.
- Recruit and lead the Programs Committee and report activities to the Board.
- Organize and coordinate webinar and face-to-face events and arrange needed materials and support.
- Manage quality control of all Chapter events, including post-event evaluations.
- Promote maximum Chapter participation at the APMP Bid & Proposal Con and solicit corporate sponsors for events.
Chapter Professional Development Chair
The Chapter Professional Development Chair is a member of the APMP Liberty Chapter Board and serves a
two-year term. The Professional Development Chair is responsible for assisting with certifications and
mentorship for Chapter members. Candidates must be APMP members in good standing and must be affiliated
with the APMP Liberty Chapter.
Duties of the Professional Development Chair
- Work with the Board to identify appropriate professional development opportunities for members.
- Develop a program specific to certification and mentorship opportunities.
- Organize an annual live Foundation Certification day.
- Foster knowledge sharing among Liberty Chapter members.
- Promote maximum Chapter participation at the APMP Bid & Proposal Con.
